The Rainbow Spreadsheet: Collaborative UX Observation
A Rainbow Spreadsheet makes UX research a team sport. It's a shared doc where observers log findings in real-time, with each participant assigned a color. This replaces a slow, formal report and builds shared understanding.
WHY IT EXISTS Traditional UX research can be a siloed activity. A researcher conducts a study, writes a long report that few people read, and then struggles to get buy-in from the engineering and product teams. The Rainbow Spreadsheet was created to solve this by involving the entire team in the research process, fostering shared ownership of the findings.
THE MENTAL MODEL Think of a Rainbow Spreadsheet as a live scoreboard for a usability study. Instead of one person taking notes, the entire team watches the "game" (the user session) and logs key "plays" (observations) on a shared board in real-time. Each participant is a different colored column, so you can instantly see which findings are repeating across users, just like seeing a pattern on a scoreboard.
HOW IT WORKS Before the study, the researcher prepares a shared spreadsheet. One sheet lists participant details. The main "Observations" sheet lists specific, pre-determined behaviors or potential quotes in the rows. Each participant is assigned a unique colored column. During the live session, all observers—engineers, designers, PMs—have the spreadsheet open. When they witness a behavior, they mark the corresponding cell. Crucially, the team uses the breaks between sessions to discuss the patterns they are seeing emerge in the spreadsheet. The completed spreadsheet becomes the final, living report.
WHEN TO USE IT Use this for qualitative usability studies when you want to maximize team involvement and get fast, actionable results. It’s ideal for lean UX environments where building shared understanding is more important than producing a polished, formal report. It works best when you have a clear study protocol with defined tasks.
WHEN NOT TO USE IT This method is less effective for highly exploratory research where you can't predict potential observations. If stakeholders require a formal, narrative report, this might not suffice. The core benefit is collaboration; if you are a solo researcher with no other observers, simpler note-taking is more efficient.
ONE CANONICAL EXAMPLE A team is testing a new checkout flow. They create a spreadsheet with rows for observations like "User hesitates on shipping page" and "User misses the promo code field." They recruit five participants, assigning them blue, green, yellow, orange, and purple columns. During the sessions, the observing PM and engineer mark an 'X' in the cells. After just three participants, they see three marks in the "hesitates on shipping page" row, instantly highlighting it as a key problem to discuss.
