WHY IT EXISTS: To combat "content rot." Unmanaged content inevitably becomes outdated, inaccurate, or irrelevant, eroding user trust and creating a maintenance nightmare. A lifecycle model provides a structured, repeatable process to prevent this decay at scale, especially in large content repositories.
THE MENTAL MODEL: Treat content as a managed asset, not a fire-and-forget publication. Just as software has a development lifecycle (SDLC), content has a lifecycle that requires planning, execution, and end-of-life management. Every piece of content has a journey from its initial idea to its eventual retirement.
HOW IT WORKS: The process is broken into distinct stages. While models vary, they generally include six phases: first, Strategy and Planning (what to create, for whom, and why); second, Creation (drafting, designing); third, Review and Approval (editorial, legal, technical checks); fourth, Publishing (making it live on a platform); fifth, Maintenance (periodic audits, updates for accuracy, performance monitoring); and sixth, Archival or Deletion (retiring content that is no longer useful or correct).
WHEN TO USE IT: Use this for any content collection where accuracy and relevance over time are critical. It is essential for technical documentation, legal policies, evergreen marketing content, and internal knowledge bases. It's the difference between a helpful, trustworthy library and a digital junkyard.
WHEN NOT TO USE IT: A full, formal lifecycle process is overkill for ephemeral content with a short, known lifespan. This includes things like social media announcements for an event, promotional campaign pages, or one-off news posts. For these, a simpler "create and publish" workflow is sufficient.
ONE CANONICAL EXAMPLE: A company's public API documentation. It's planned (what endpoints to document), created (writers draft the guides), reviewed (engineers verify accuracy), and published. Crucially, as the API evolves, the docs are maintained with updates and versioning. When an API version is deprecated, its corresponding documentation is formally archived or removed from public view, completing the lifecycle.
